Job Overview
The Front Office Executive is responsible for managing the reception area and creating a professional and welcoming first impression for clients visiting the company’s premium experience center. This role involves greeting customers, coordinating visitor appointments, and ensuring smooth communication between clients and the internal design or sales teams. The position plays an important role in enhancing the customer experience by assisting visitors, managing front desk operations, and supporting showroom coordination. The Front Office Executive will also handle basic administrative tasks, maintain visitor records, and ensure the reception area reflects the company’s high standards of professionalism and hospitality. This role is ideal for individuals who have strong communication skills, a pleasant personality, and the ability to interact confidently with clients in a luxury retail environment.

Key Responsibilities
- Greet and welcome clients, visitors, vendors, and employees with warmth, professionalism, and confidence to create a positive first impression in the premium showroom environment.
- Act as the primary point of contact at the reception, ensuring all visitors receive courteous assistance and are directed to the appropriate sales, design, or management teams.
- Manage the reception and front desk area, ensuring it remains clean, organized, visually appealing, and aligned with the company’s high standards of luxury and hospitality.
- Coordinate and schedule client appointments, consultations, and showroom visits with sales consultants or design teams, ensuring timely confirmations and smooth visitor flow.
- Register visitors, maintain accurate visitor logs, and follow visitor entry procedures as per company protocols.
- Assist walk-in clients by understanding their initial requirements and guiding them to the relevant team members or product sections within the showroom.
- Handle incoming phone calls, emails, and general inquiries, responding professionally and forwarding them to the appropriate departments.
- Act as a liaison between clients and internal teams, ensuring smooth communication and timely transfer of information.
- Enhance the overall customer experience by offering hospitality, assisting visitors with brochures or information, and ensuring a comfortable waiting environment.
- Manage client waiting areas and coordinate with the concerned team to minimize waiting time and maintain a premium service experience.
- Support showroom coordination by ensuring display areas, meeting spaces, and consultation zones are well prepared for client interactions.
- Assist sales and design teams in coordinating client meetings, showroom presentations, and consultations when required.
- Handle incoming and outgoing courier deliveries, packages, and general office correspondence in an organized manner.
- Perform basic administrative tasks including printing, scanning, photocopying, documentation, filing, and maintaining organized records.
- Maintain client inquiry records and update customer data in internal records or CRM systems when required.
- Coordinate with housekeeping, facility, and maintenance teams to ensure the reception and client areas remain presentable and operational at all times.
- Monitor and maintain reception-related supplies such as stationery, brochures, and visitor materials to ensure smooth daily operations.
- Assist in coordinating internal meetings, showroom events, client visits, or presentations when required.
- Ensure the reception and showroom entrance consistently reflect the company’s premium brand standards and professional image.
- Maintain confidentiality while handling client information, visitor records, and internal communications.
- Demonstrate strong communication skills, a pleasant personality, and a service-oriented approach while interacting with clients in a luxury retail environment.
