Job Overview
The Assistant Project Manager will support the planning, coordination, and execution of workplace furniture and interior projects for corporate and commercial clients. The role involves coordinating with clients, architects, vendors, installation teams, and internal departments to ensure smooth project execution within timelines and quality standards. The candidate will assist in project scheduling, site coordination, material planning, installation management, client communication, reporting, and project completion activities. Experience in workplace furniture, modular furniture, office interiors, fit-out projects, or commercial interior execution will be preferred.
Key Responsibilities
- Manage project installation coordination from project initiation to final handover completion.
- Support planning, coordination, and execution of workplace furniture and interior fit-out projects.
- Coordinate with clients, architects, interior designers, consultants, contractors, vendors, PMC teams, and internal departments.
- Assist in project scheduling, execution planning, milestone tracking, and installation management.
- Monitor project timelines and ensure smooth project execution within committed deadlines.
- Conduct regular site visits and supervise installation and execution activities across project locations.
- Ensure site readiness before installation activities including civil, electrical, and interior work completion.
- Understand and review BOQs, technical drawings, layouts, product specifications, and furniture solutions.
- Coordinate with production, procurement, logistics, warehouse, accounts, and operations teams for smooth project execution.
- Manage material planning, dispatch coordination, delivery schedules, unloading arrangements, and inventory tracking.
- Verify material specifications, finishes, quantities, and quality against approved drawings and samples.
- Coordinate with vendors, suppliers, and factory teams regarding production timelines and delivery schedules.
- Supervise installation teams, contractors, technicians, and site workers during execution activities.
- Monitor quality standards, workmanship, safety compliance, and installation accuracy during project execution.
- Identify and resolve site-level operational, technical, installation, and coordination issues.
- Conduct snagging, punch-list preparation, de-snagging, and rectification activities before project handover.
- Maintain strong relationship management with on-site teams, contractors, PMC teams, architects, and interior designers.
- Organize and participate in project review meetings, site coordination meetings, and stakeholder discussions.
- Prepare and maintain project reports, MOMs, trackers, issue logs, and execution updates.
- Maintain regular communication with clients regarding project progress, updates, delays, and change requests.
- Manage mail communication with company officials, vendors, logistics teams, and clients for project coordination.
- Coordinate warranty support, damage replacement, replacement material arrangements, and installation support activities.
- Maintain project documentation including RFIs, approvals, change orders, drawings, handover documents, and technical data sheets.
- Assist in final project handover, submission of technical documents, sign-offs, and project closure activities.
- Maintain smooth coordination between sales, design, execution, procurement, logistics, installation, and client teams throughout the project lifecycle.
Key Skills
- Strong knowledge of workplace furniture systems, modular furniture, office interiors, and commercial fit-out execution.
- Ability to read and interpret CAD drawings, technical layouts, elevations, shop drawings, and BOQ documents.
- Strong understanding of BOQ, material planning, quantity take-offs, and procurement coordination.
- Knowledge of site readiness assessment, installation sequencing, snagging, de-snagging, and handover processes.
- Strong project planning and scheduling skills using MS Excel, MS Project, Primavera, or Gantt chart tools.
- Ability to manage project timelines, milestones, and multiple projects simultaneously.
- Strong site coordination, installation supervision, and execution management skills.
- Good vendor, contractor, and logistics coordination skills for smooth project execution.
- Strong material management including dispatch tracking, inventory control, and delivery coordination.
- Excellent stakeholder management with clients, architects, designers, PMCs, and internal teams.
- Strong professional communication skills including email writing, reporting, and client coordination.
- Strong documentation skills including DPRs, MOMs, RFIs, trackers, and handover files.
- Strong problem-solving and issue resolution skills for site and execution challenges.
- Strong installation supervision with focus on quality, safety, and design compliance.
- Strong time management and multitasking ability in fast-paced project environments.
- Proficiency in Microsoft Office Suite including Excel, Word, and PowerPoint.

Any Graduate / MBA in Business Administration / Project Management / Engineering / Architecture / Interior Design / Related Field can apply for this position. Additional certification or training in Project Management / Interior Fit-Out Execution / Workplace Furniture Systems / Construction / Project Coordination will be an added advantage. Knowledge of Project Coordination, Site Execution, and Installation Management in Furniture / Interior Projects will be on High Priority.
Experience
Minimum 2 to 5 Years of experience in Project Coordination / Site Execution / Project Management in B2B Workplace Furniture / Office Interiors / Modular Furniture / Commercial Interior Fit-Out Industry. Proven experience in managing end-to-end project execution from planning to installation and final handover in a solution-based project environment. Experience in coordinating with clients, architects, interior designers, PMC consultants, contractors, and vendors for smooth site execution will be highly preferred. Strong exposure to BOQ handling, technical drawings, material planning, installation management, and project tracking on priority.
