
Job Overview
The Sales Coordinator will manage daily sales operations, handle enquiries, process orders, and maintain smooth communication with customers and internal teams. They will coordinate closely with production, purchase, and logistics to ensure timely order fulfilment and dispatch. Along with sales duties, they will support basic store functions such as checking material availability and tracking inventory related to customer orders. This role ensures organised operations, timely deliveries, and seamless coordination across departments.
- Handle customer enquiries, share product details, and provide timely follow-ups.
- Prepare and issue accurate quotations, proforma invoices, and sales orders.
- Act as the primary point of contact for customers regarding pricing, lead times, order status, and technical clarifications.
- Maintain regular communication with customers for order updates, dispatch details, delays, and documentation needs.
- Process customer purchase orders and ensure correct order entry in the CRM/ERP system.
- Maintain and update customer records, order pipeline, and CRM data.
- Handle customer complaints, returns, exchanges, and warranty requests professionally.
- Follow up on pending orders, outstanding payments, and billing issues with the accounts team.
- Support the sales team in preparing tenders, bids, and commercial proposals.
- Organize customer visits, meetings, and factory acceptance tests (FAT).
- Review and verify sales orders for accuracy against quotations and specifications.
- Maintain and attach required sales documentation such as drawings, datasheets, ITPs, certificates, and test reports.
- Maintain organised sales files, records, and follow-up systems.
- Generate daily, weekly, and monthly sales and backlog reports.
- Coordinate with production and planning teams to track order status and ensure timely manufacturing.
- Communicate confirmed delivery dates and priority orders to the production department.
- Monitor production progress and identify potential delays.
- Coordinate with purchase and stores teams to confirm material/component availability.
- Assist in GRN follow-ups, material readiness, and production alignment.
- Track and record customer material returns (RMAs).
- Plan and execute dispatch schedules based on production completion and customer delivery timelines.
- Coordinate with quality control to ensure products are inspected, tested, and released for dispatch.
- Prepare shipping documents including invoices, packing lists, certificates, e-way bills, and export documents.
- Arrange domestic and international freight with transporters and freight forwarders.
- Track shipments and provide proactive ETA updates to customers.
- Coordinate third-party inspections such as TUV, Lloyd’s, BV, DNV when required.
- Ensure proper packaging, crating, labeling, and sealing of shipments.
- Maintain dispatch registers, PODs, logistics cost reports, and shipment records.
- Resolve transport, customs, and logistics issues with vendors and customers.
- Monitor material stock levels related to customer orders and production needs.
- Perform basic inventory tracking, cycle counts, and stock verification.
- Support store operations during peak workload or manpower shortage.
- Assist with material issue slips, stock transfers, and related documentation.
- Ensure proper storage, labeling, FIFO/FEFO, and safe material handling.
- Coordinate inbound and outbound material movement with logistics, purchase, and production teams.
- Ensure compliance with ISO, API, ASME, and other standards in all processes.
- Participate in process improvement initiatives to reduce order-to-dispatch cycle time.
- Maintain accurate records, MIS reports, and documentation for audits.
- Ensure high levels of customer satisfaction through timely communication and smooth coordination.

- Order management, processing, and documentation accuracy.
- CRM proficiency (Zoho, Salesforce, HubSpot, etc.).
- ERP/MRP proficiency (SAP, Oracle, Tally, Odoo, Epicor, NetSuite).
- Ability to maintain accurate customer and order data.
- Knowledge of sales processes, quotations, pricing, and commercial terms.
- Ability to review purchase orders and match with quotations.
- Coordination across sales, production, purchase, QC, stores, logistics, and accounts.
- Strong follow-up skills with customers, transporters, and internal teams.
- Dispatch planning and shipment scheduling.
- Understanding of domestic and international logistics.
- Experience coordinating with transporters, freight forwarders, and 3PL agencies.
- Knowledge of e-way bills, invoices, packing lists, challans, and dispatch documentation.
- Export documentation knowledge (Commercial Invoice, Packing List, CoO, BL/AWB, Export Declaration).
- Understanding of Incoterms (EXW, FOB, CIF, FCA, CPT, DAP, DDP).
- Customs clearance and HS code understanding.
- Ability to track shipments, monitor transit delays, and manage ETAs.
- Knowledge of packaging, crating, labeling, and shipment readiness.
- Understanding of hazardous goods shipping (IATA/IMDG/ADR).
- Basic understanding of ISO, ASME, API, ATEX, IECEx, SIL, PED standards.
- Familiarity with material certificates (EN 10204 3.1/3.2) and QC documentation.
- Ability to coordinate FAT inspections and third-party agencies (TUV, DNV, BV, Lloyd’s).
- Inventory awareness and stock monitoring skills.
- Ability to track material availability and coordinate with stores / warehouses.
- Cycle count support and inventory accuracy knowledge.
- Basic understanding of production workflow and lead time planning.
- Ability to read basic technical data sheets, drawings, or specifications.
- Technical literacy for valves, actuators, automation, and instrumentation (preferred).
- Proficiency in MS Office, especially Excel (VLOOKUP, Pivot Tables, MIS reporting).
- Ability to generate daily/weekly/monthly sales and dispatch reports.
- Strong analytical and data interpretation skills.
- High attention to detail and accuracy.
- Excellent organisational and record-keeping skills.
- Time management and ability to prioritise tasks effectively.
- Ability to multitask across sales coordination, dispatch, documentation, and follow-ups.

- Ability to support showroom or client visits when required.

- LC documentation handling knowledge (added advantage).
- Experience in furniture/interior/home décor industry (optional advantage).
- Certifications like APICS CPIM/CSCP, IATA DG, Lean Six Sigma (preferred but not mandatory).
