Job Overview
The Purchase Assistant supports the procurement of raw materials, consumables, spares, and services for manufacturing engineering cast components. The role focuses on assisting in vendor coordination, follow-ups, documentation, and order processing to ensure timely availability of materials. Working closely with the Purchase Manager and internal teams like production, quality, and finance, the Purchase Assistant helps maintain smooth supply flow, accurate records, and timely deliveries while ensuring compliance with required quality standards for Railway, Automobile, General Engineering, and Agriculture applications.
Key Responsibilities
- Assist in executing procurement plans as per production schedules and business requirements.
- Support the purchase of raw materials, alloys, scrap, consumables, spares, tooling, and services.
- Coordinate with vendors for quotations, comparisons, and basic evaluations.
- Prepare and process purchase orders as per instructions from seniors.
- Follow up with suppliers to ensure timely delivery of materials.
- Maintain records of orders, invoices, and delivery schedules.
- Assist in onboarding new vendors by collecting required documents and details.
- Support in maintaining vendor database and updated contact information.
- Coordinate with stores team for inward material status and discrepancies.
- Help ensure materials received meet basic quality and quantity requirements.
- Assist in handling rejections, returns, and replacement follow-ups with suppliers.
- Support in tracking supplier performance and delivery timelines.
- Maintain proper documentation for audits and compliance requirements.
- Coordinate with production team for urgent material requirements.
- Assist in inventory monitoring to avoid shortages and excess stock.
- Support implementation of Min-Max and basic inventory control practices.
- Help in collecting market price information and vendor quotations.
- Assist in cost comparison sheets and basic price analysis.
- Coordinate with finance team for invoice verification and payment follow-ups.
- Maintain MIS reports related to purchase and supplier status.
- Ensure all purchase activities follow company policies and procedures.
- Support ERP system entries for purchase orders, GRN, and vendor details.
- Assist in maintaining records of certifications and compliance documents.
- Support senior team members in vendor communication and negotiations.
- Help in day-to-day administrative tasks related to procurement operations.

- Basic understanding of procurement processes and purchase planning.
- Good negotiation and vendor coordination skills.
- Ability to source suppliers and collect quotations.
- Basic knowledge of raw materials, consumables, and engineering items.
- Understanding of manufacturing and foundry operations (basic level).
- Awareness of quality standards and documentation requirements.
- Ability to assist in handling supplier quality issues and follow-ups.
- Basic cost analysis and price comparison skills.
- Inventory tracking and stock monitoring understanding.

Priority will be given to candidates with strong Purchasing Experience of the Foundry and Metal Casting Industry, along with experience related to Automobile Engineering, Railway Engineering, General Engineering, Agriculture Equipment, Heavy Engineering, Industrial Machinery, Defense and Aerospace, Manufacturing and Fabrication, and Material Processing.
