
- Act as a strategic partner to the CEO and senior management, supporting business priorities and daily executive operations.
- Manage complex executive calendars, schedules, meetings, and appointments across multiple time zones while prioritizing critical business activities.
- Coordinate domestic and international travel, including itineraries, visas, accommodations, and contingency planning.
- Prepare, edit, and present reports, presentations, MIS, executive briefings, spreadsheets, and official documents with high accuracy.
- Draft, review, and manage professional correspondence, emails, internal memos, and communications on behalf of senior executives.
- Organize leadership meetings, board meetings, corporate events, client engagements, and conferences with complete logistics support.
- Prepare meeting agendas, take minutes of meetings, track action items, and ensure timely follow-ups across departments.
- Act as the primary liaison between executives, department heads, clients, partners, and external stakeholders.
- Coordinate cross-functional communication between operations, sales, production, finance, and administration teams.
- Support strategic planning, business reviews, project updates, and decision-making through research, data analysis, and reporting.
- Conduct market research, prepare business proposals, performance reports, and project summaries as required.
- Track key projects, deliverables, deadlines, KPIs, and executive priorities to ensure smooth execution.
- Lead and support special projects, cross-functional initiatives, and operational improvement efforts.
- Monitor operational workflows and proactively identify risks, delays, and improvement opportunities.

- Assist in production planning cycles and coordination between marketing and production teams when applicable.
- Follow up on payments, overdue accounts, and financial communications when required.
- Prepare detailed production, planning, and performance reports.
- Support business development activities, presentations, negotiations, and executive-level coordination.
- Use MS Office, ERP systems, reporting tools, and digital platforms efficiently for executive operations.
- Provide proactive problem-solving support in fast-paced business situations.
- Maintain strong verbal and written communication in English with professional executive etiquette.
- Develop strong working knowledge of all departments to ensure seamless coordination and support.
- Represent the executive office professionally in all internal and external interactions.

Minimum 2 to 6 Years of an Executive Assistant (EA) / Personal Assistant / Admin / Office Assistant / Executive Support experience is preferred. Experience supporting CEO, senior management, or C-suite executives in fast-paced business environments is highly valued. Hands-on experience in calendar management, travel coordination, executive reporting, documentation, stakeholder communication, handling confidential information with professionalism and discretion, ERP systems, project management tools, and digital productivity platforms is preferred.. Exposure to strategic projects, cross-functional coordination, and business operations will be an advantage. Industry experience in Industrial Rubber or relevant manufacturing or corporate sectors will be given priority.
