
Job Overview
They are seeking a highly organized and proactive Admin Executive / Branch Admin to support the day-to-day operations of their branch office. As a vital part of their administrative team, you will ensure smooth coordination, documentation, and communication within the office while aligning with their company’s mission to deliver professional pest control services across India.
- Handle day-to-day office administration and branch-level coordination.
- Manage documentation, data entry, filing. (physical & digital)
- Maintain attendance records, leave registers, and daily staff reporting.
- Track branch expenses, maintain stock registers, and petty cash handling.
- Raise invoices, follow up for payments, and assist with billing reconciliation.
- Coordinate with field staff and technicians for timely service execution.
- Schedule pest control appointments and route planning for service teams.
- Ensure availability of pest control materials, safety kits, and equipment.
- Handle client calls, walk-ins, and resolve basic service-related queries.
- Prepare and submit daily, weekly, and monthly MIS reports.
- Maintain branch compliance records. (FSSAI, MSDS, etc. where applicable)
- Support recruitment of local staff and assist in onboarding formalities.
- Assist in staff performance tracking and internal communication.
- Liaise with vendors for office maintenance and material procurement.
- Ensure branch hygiene, safety, and adherence to SOPs.
- Coordinate logistics for outstation services or bulk orders.
- Ensure smooth communication between branch and Head Office.
- Maintain service feedback records and coordinate for complaint resolution.
- Maintain records of raw materials, inventory levels, purchase orders, and production schedules.
- Ensure sufficient and economical stock of office and production materials.
- Coordinate with departments like Production, Quality Control, Logistics, for seamless functioning.
- Handle procurement, vendor management, and utility coordination.
- Maintain documentation such as invoices, purchase orders, compliance papers, and audit support files.
- Maintain employee data, visitor logs, calendars, meeting notes, and other critical records.
- Track internal task assignments and follow-ups across departments.
- Assist with outbound / inbound calls, customer communication, and follow-ups.
- Create and maintain a customer database, track orders, and assist in quotation preparation.
- Help with drafting sales reports, proposals, and coordinating with clients for demos and meetings.
- Coordinate between marketing, sales, and production to ensure smooth order flow and customer satisfaction.
- Draft official communication on behalf of senior management — including letters, emails, presentations, and reports.
- Maintain confidentiality of sensitive information and ensure professional conduct.
- Assist in corporate events, seminars, expos, and client meetings — including logistics and promotional coordination.
- Strong organizational and multitasking abilities.
- Good command of MS Office. (Excel, Word, Outlook)
- Excellent communication and interpersonal skills.
- Basic knowledge of billing, documentation, and office protocols.
- Ability to work independently and take ownership of tasks.
- Knowledge of pest control industry operations. (preferred but not mandatory)
- Prior experience in service or field-based companies is an added advantage.
- Ability to multitask, prioritize, and work effectively under pressure in a fast-paced manufacturing environment.
- High attention to detail and accuracy in data handling, costing, and production scheduling.
- Professional demeanor with a pleasant personality and excellent interpersonal skills for vendor coordination, client interaction, and interdepartmental liaison.
- Proactive and solution-oriented mindset, with the ability to anticipate operational needs and streamline communication.
- Strong skills in report preparation, calendar management, and travel planning to support executive-level tasks.
- Familiarity with project management tools and task tracking systems to monitor progress and deadlines.
- Clear communicator with the ability to present ideas with conviction and maintain transparency in documentation and updates.
- Skilled at negotiation, follow-up, and maintaining long-term vendor and customer relationships.
