Dispatch Executive – WNADE23022026

Company Overview

Job Overview

The Dispatch Executive is responsible for managing the complete dispatch operations of finished machines and spare parts to domestic and international customers. The role ensures accurate documentation, safe packing, timely shipment, coordination with production and service teams, and smooth logistics execution. Since the products are high-value capital machines, the role requires careful handling, packaging supervision, and coordination with transporters to ensure safe and damage-free delivery.


Key Responsibilities

  • Manage complete end-to-end dispatch operations for finished machines and spare parts for domestic and international customers.
  • Plan and execute daily and weekly dispatch schedules based on production readiness and customer delivery commitments.
  • Coordinate with Production, PPC, Quality, Stores, Sales, Accounts, and Service teams to confirm machine clearance and dispatch approval.
  • Align dispatch timelines with installation schedules and service commitments.
  • Prepare and verify all dispatch documents including Commercial Invoice, Tax Invoice, Packing List, Delivery Challan, E-Way Bill, LR copy, GRN, and transport documents.
  • Handle export documentation such as Shipping Bill, Bill of Lading, Certificate of Origin, export declarations, insurance papers, and compliance with customs regulations and Incoterms.
  • Ensure correct HSN codes, GST compliance, export-import regulations, and Letter of Credit conditions where applicable.
  • Update dispatch status and inventory movement accurately in ERP systems such as SAP or Oracle.
  • Supervise safe packing, crating, palletizing, vacuum packing, shock-proofing, moisture protection, and proper labeling of high-value machines such as CO2 Laser Machine and Fiber Laser Machine.
  • Conduct pre-dispatch inspection in coordination with the Quality team to ensure machine specifications match customer requirements.
  • Verify inclusion of all accessories, toolkits, manuals, warranty documents, and spare parts before final dispatch.
  • Arrange suitable transport vehicles such as flatbed trailers, low-bed trailers, containers, or air freight based on cargo size and weight.
  • Coordinate with transporters, freight forwarders, CHA agents, customs brokers, and insurance providers for smooth logistics execution.
  • Negotiate freight rates while ensuring safety and reliability of shipment.
  • Supervise loading and unloading operations, ensuring proper weight distribution and machine stability.
  • Monitor and track shipments through GPS or transporter updates and provide ETA updates to customers and internal teams.
  • Proactively resolve delays, transit issues, customs holds, vehicle breakdowns, or route changes.
  • Ensure transit insurance coverage and handle damage claims with proper documentation and corrective actions.
  • Maintain finished goods and spare parts inventory accuracy using FIFO method and conduct regular stock verification.
  • Generate dispatch reports including on-time delivery performance, transporter performance, freight cost analysis, and damage incidents.
  • Handle urgent spare parts dispatch for breakdown support and service requirements.
  • Maintain compliance with domestic and international logistics regulations.
  • Ensure zero documentation errors and minimize transit damage through strict process control.
  • Maintain safety standards during packing, loading, and dispatch operations.
  • Identify opportunities to improve dispatch efficiency, reduce logistics costs, and enhance overall customer satisfaction.


Key Skills

  • Strong knowledge of end-to-end dispatch, logistics, and supply chain operations in the machine manufacturing industry.
  • In-depth understanding of domestic and international shipping procedures (road, rail, sea, air).
  • Expertise in Incoterms 2020 including FOB, CIF, EXW, DAP and liability interpretation.
  • Proficiency in export-import documentation including Commercial Invoice, Packing List, Bill of Lading, Airway Bill, Certificate of Origin, Shipping Bill, Fumigation Certificate, and insurance papers.
  • Strong knowledge of GST compliance, HSN classification, E-Way Bill generation, customs regulations, and Letter of Credit processes.
  • Hands-on experience with ERP systems such as SAP, Oracle, Microsoft Dynamics, or Tally for dispatch and inventory management.
  • Proficiency in MS Excel and logistics tracking tools for reporting and shipment monitoring.
  • Strong documentation accuracy with exceptional attention to detail.
  • Ability to handle high-value capital equipment dispatch safely and efficiently.
  • Knowledge of heavy and over-dimensional cargo handling, including lashing, choking, load securing, and crane/forklift supervision.
  • Strong understanding of packaging standards such as wooden crating, vacuum packing, shock-proofing, and moisture protection for machines like CO2 Laser Machine and Fiber Laser Machine.
  • Spatial reasoning ability to determine appropriate vehicle or container size for heavy machinery to avoid dead freight costs.
  • Transporter and freight forwarder coordination and performance evaluation skills.
  • Freight negotiation and logistics cost optimization capability.
  • Shipment tracking and proactive issue resolution skills.
  • Inventory management knowledge including FIFO method and stock reconciliation.
  • Risk management skills including transit damage prevention and insurance claim handling.
  • Strong cross-functional coordination with Production, Quality, Sales, Accounts, Stores, and Service teams.
  • Excellent communication skills for internal teams, transporters, CHA agents, customs brokers, and customers.
  • Strong negotiation, interpersonal, and relationship management skills.
  • Effective problem-solving and decision-making under pressure.
  • Crisis management ability to handle delays, customs issues, transporter failures, and emergency dispatches.
  • Time management and multitasking skills to manage multiple shipments and deadlines.
  • Organizational skills for dispatch yard planning and shipment sequencing.

Salary
₹30000/- to ₹60000/- pm (Best in the Industry for Qualified Candidate)

Education
Any Graduate / Degree in Commerce / Logistics / Supply Chain Management / Business Administration with any Diploma / BE / BTech in Mechanical Engineering / Industrial Engineering preferred for Machine Manufacturing Industry exposure. Certification in Export-Import Management / International Trade is an added advantage. Training in GST compliance and E-Way Bill procedures preferred. Computer proficiency certification in ERP systems such as SAP or Oracle is an advantage. Strong working knowledge of MS Office, especially Excel, is required. Machinery industry dispatch related knowledge is a priority.

Experience
Any candidate with 1 to 4 Years of experience in Dispatch / Logistics / Supply Chain operations in the Machinery Manufacturing industry preferred. Experience in handling high-value capital equipment and heavy or over-dimensional cargo dispatch is highly desirable. Proven experience in domestic and international shipment coordination, export documentation, GST compliance, and transporter management required. Hands-on experience with ERP systems for dispatch and inventory management is essential. Experience in supervising packing, loading, and damage-free delivery of industrial machines is an advantage. Machinery industry dispatch related Experience is a priority.
