
Job Overview
- Operate and maintain computer systems for data entry, record-keeping, and reporting related to trading operations.
- Input, update, and manage trading-related data, including purchase orders, sales orders, stock movements, pricing, vendor details, and client accounts.
- Prepare, update, and manage documents such as invoices, purchase orders, delivery challans, contracts, quotations, and correspondence.
- Support management, sales, and operations teams with documentation, digital records, inventory reports, and client files.
- Maintain and update databases of suppliers, clients, warehouses, logistics partners, and financial transactions, ensuring data accuracy and security.
- Perform regular data backups and develop procedures for data recovery to safeguard critical trading information.
- Generate and circulate daily, weekly, and monthly MIS reports on sales performance, stock levels, purchases, logistics, and profitability.
- Manage and organize digital files and documents, including product specifications, rate lists, supplier agreements, and compliance documents.
- Operate and maintain office equipment such as printers, scanners, and systems for order processing and documentation.
- Provide technical support for staff, resolving software, hardware, and networking issues in offices and warehouses.
- Monitor and maintain ERP, accounting software, and trading applications for smooth business operations.
- Run scheduled reports from inventory management and accounting systems.
- Assist in the setup of new computers, peripherals, and user accounts, while managing access permissions.
- Maintain logs of system activities, troubleshooting, and issue resolutions.
- Track and manage IT assets (hardware, software, and peripherals), ensuring proper utilization.
- Implement and enforce IT and data security measures to protect sensitive company and client information.
- Coordinate with sales, purchase, accounts, and warehouse teams to ensure data accuracy and timely reporting.
- Provide assistance in document formatting, presentations, spreadsheets, and analysis reports for management.
- Ensure confidentiality in handling contracts, client details, and financial records.
- Advanced knowledge of MS Office (Word, Excel, PowerPoint, Outlook); strong Excel skills for inventory, sales, and reporting.
- Familiarity with Tally, QuickBooks, SAP, and ERP systems for billing, purchase orders, and trading operations.
- Experience with inventory management systems, order processing tools, and CRM software.
- Strong understanding of trading databases, stock records, order history, and backup procedures.
- Proficiency in Windows OS; basic knowledge of Linux/macOS.
- Understanding of LAN, WAN, and Wi-Fi technologies with troubleshooting skills.
- Operation and troubleshooting of printers, scanners, barcode devices, and network equipment.
- Knowledge of IT asset tracking, ERP maintenance, and system performance monitoring.
- Awareness of IT security protocols and safe handling of sensitive financial/client data.
- Ability to generate and analyze MIS reports on stock, sales, purchases, and profitability.
- Accuracy in data entry, invoicing, reconciliation, and financial documentation.
- Strong troubleshooting ability for ERP, software, and hardware issues.
- Skilled at prioritizing purchase/sales orders, stock updates, and reporting.
- Excellent verbal and written communication for coordination with suppliers, clients, and management.
- Ability to work effectively with sales, purchase, accounts, logistics, and IT teams.
- Willingness to learn and adapt to new ERP systems and trading tools.
- Ability to interpret sales trends, market data, and stock movement for decision-making.
- Strong sense of integrity and confidentiality in handling contracts, records, and client/vendor information.
