The Front Office Executive will be the first point of contact for clients, visitors, and partners, representing the Company’s premium brand image. This role requires excellent communication, professional presentation, and efficient coordination to support smooth office operations.

Key Responsibilities
- Welcome and assist visitors, clients, contractors, engineers, architects, and HNI customers with a professional and courteous approach.
- Represent the company’s premium brand image through impeccable grooming and communication.
- Manage the front desk and reception area, ensuring it remains clean, organized, and aligned with a high-end corporate environment.
- Handle incoming phone calls, emails, and project-related inquiries, routing them to the correct site team, project manager, or department.
- Provide basic information about ongoing high-rise residential and commercial projects, site visit schedules, and company services.
- Register and guide visitors following safety and access protocols of a construction environment.
- Maintain and update the digital visitor log and coordinate smooth check-in and check-out processes.
- Coordinate with the project, sales, CRM, and admin teams to arrange seamless client and contractor meetings.
- Schedule and manage site visits, consultant meetings, and project review presentations.
- Maintain calendars for senior management, project heads, and engineering teams.
- Ensure conference rooms and meeting spaces are prepared with drawings, project plans, AV systems, and refreshments.
- Assist in preparing meeting kits, project brochures, plan layouts, and visitor passes.
- Handle documentation tasks including photocopying, scanning, printing, and filing of project documents, agreements, NOCs, and approvals.
- Support admin and project teams with record keeping, attendance updates, and communication follow-ups.
- Manage incoming and outgoing courier packages, especially confidential project files, tenders, and RERA documents.
- Maintain inventory of office supplies, stationery, technical materials, and front-desk essentials.
- Address visitor or client queries and escalate issues to the respective project manager when required.
- Provide hospitality support during client visits, investor visits, and walkthrough presentations.
- Assist during project launches, handover events, milestone celebrations, and on-site client events.
- Coordinate with building and site security to ensure compliance with PPE, safety norms, and restricted-access guidelines.
- Monitor and report facility or maintenance issues such as AC, lighting, housekeeping, and safety signage for timely resolution.
- Process client payments including cheques and cash, and coordinate with the accounts team for documentation.
- Prepare front-office reports including visitor statistics, meeting schedules, enquiry logs, and follow-up details.
- Promote sustainable office practices such as digital documentation and minimal paper usage.

- Strong interpersonal skills to handle clients, architects, contractors, engineers, and HNI visitors.

- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Familiarity with visitor management systems, digital logs, and basic CRM tools.
- Ability to use EPABX and multi-line telephone systems.
- Basic understanding of real estate and construction terminology.
- Ability to coordinate seamlessly with sales, CRM, project, admin, and security teams.
- Organizational skills for meeting-room bookings, scheduling, and calendar management.
- Technical proficiency to handle printers, scanners, AV equipment, and office devices.
- Ability to maintain reception aesthetics, lobby upkeep, and office supply inventory.
- High emotional intelligence with the ability to read client moods and respond appropriately.
- Proactive, quick-learning attitude with adaptability to changing priorities.
- Conflict resolution and quick decision-making skills.
- Knowledge of security, visitor access, PPE, and site-entry protocols.
- Ability to draft professional emails and internal communications.
- Basic understanding of documentation handling including photocopying, scanning, and file management.
- Willingness to learn new software and internal management systems.
- Prior experience in luxury real estate, hospitality, or premium corporate offices (preferred).
