Job Overview

The Export Sales Coordinator supports international sales operations for a leading machine manufacturing company specializing in CO2 Laser Machines, Fiber Laser Machines, CNC Routers, Digital Printing Technology, and advanced laser solutions. The role focuses on coordinating export orders, managing client communication, handling documentation, and ensuring timely shipments in compliance with global trade procedures. By working closely with sales, production, and logistics teams, the coordinator helps drive smooth exports, strong customer satisfaction, and the company’s global market expansion.

Key Responsibilities

  • Coordinate the complete export sales process from inquiry to final delivery of CO2 Laser Machines, Fiber Laser Machines, CNC Routers, Digital Printing Equipment, Laser Engraving Machines, and Laser Marking Machines.
  • Prepare and manage export quotations, proforma invoices, sales proposals, contracts, and order entries in ERP/CRM systems.
  • Act as the primary coordination point between international customers, sales teams, production/engineering, logistics, quality, and finance departments.
  • Understand customer technical requirements and ensure machine specifications, customization, and delivery timelines meet buyer expectations.
  • Handle complete export documentation including commercial invoices, packing lists, bills of lading, certificates of origin, export declarations, LC documents, and compliance paperwork.
  • Ensure adherence to international trade laws, customs regulations, export controls, Incoterms, and destination country import requirements.
  • Coordinate logistics with freight forwarders, shipping lines, CHAs, and carriers for sea, air, and road transport of heavy machinery.
  • Track shipments in real time, manage customs clearance processes, and resolve delays, discrepancies, or logistics issues proactively.
  • Follow up on export payments, LC realization, advances, outstanding amounts, and coordinate closely with finance teams.
  • Serve as the main point of contact for overseas customers post-sale, providing updates, handling inquiries, and ensuring high customer satisfaction.
  • Coordinate installation schedules, after-sales support, spare parts exports, and warranty-related shipments with technical service teams.
  • Maintain accurate export sales records, order status trackers, customer databases, and shipment reports.
  • Prepare MIS reports, export performance analysis, sales forecasts, and pipeline tracking for management review.
  • Conduct market research on global demand trends, competitor activity, pricing benchmarks, and emerging export opportunities.
  • Support international business development initiatives including distributor onboarding, contract coordination, and channel expansion.
  • Assist in international exhibitions, trade fairs, digital promotions, and global branding activities.
  • Monitor global trade policy changes, tariffs, shipping practices, and regulatory updates affecting machinery exports.
  • Suggest process improvements to enhance export efficiency, reduce logistics costs, and improve customer experience.
  • Collaborate with sales leadership in export strategy planning, revenue forecasting, and market penetration initiatives.


Key Skills

  • Strong expertise in export documentation including commercial invoices, packing lists, bills of lading/air waybills, certificates of origin, export declarations, LC documents, and compliance certificates.
  • In-depth knowledge of international trade regulations, customs procedures, export controls, duty structures, and destination-country import requirements.
  • Practical command of Incoterms (FOB, CIF, DAP, EXW, etc.) and international payment mechanisms including Letter of Credit handling and advance/remittance processes.
  • Proven ability to coordinate logistics for heavy and oversized machinery using sea freight, air cargo, customs brokers, freight forwarders, and CHAs.
  • Strong order processing and tracking skills using ERP systems (SAP or similar), CRM platforms, shipment tracking tools, and documentation software.
  • Advanced proficiency in MS Excel, Word, PowerPoint, and data reporting tools for quotations, forecasting, and MIS reporting.
  • Solid technical understanding of CO2 Laser Machines, Fiber Laser Machines, CNC Routers, Digital Printing Equipment, Laser Engraving and Marking Machines.
  • Ability to read technical specifications, HS codes, compliance certificates (CE/UL), and product documentation accurately.
  • Excellent verbal and written communication skills for international client coordination and cross-cultural business interactions.
  • Strong customer service and relationship management abilities to ensure satisfaction, retention, and repeat international business.
  • High attention to detail to ensure error-free documentation and regulatory compliance for high-value machinery shipments.
  • Strong organizational and time management skills to handle multiple export orders, deadlines, and complex logistics simultaneously.
  • Analytical skills for sales forecasting, market research, export performance tracking, and continuous process improvement.
  • Basic negotiation skills for freight rates, delivery terms, and commercial coordination with logistics partners.
  • Problem-solving ability to manage shipment delays, compliance issues, and international trade challenges proactively.
  • Adaptability to global markets, changing trade policies, time zones, and diverse cultural environments.
  • Understanding of supply chain coordination, production timelines, quality inspections, and inventory planning for export commitments.
  • Experience in international sales support, distributor handling, and global business development coordination.
  • Digital communication proficiency using email, CRM systems, virtual meeting platforms, and global collaboration tools.
  • Multilingual capability and international market exposure as an added advantage.

Education
Any Graduate / Relevant in International Business / Export–Import Management / Commerce / Business Administration / Engineering / Related Field can apply for this position. Certification in Export–Import (EXIM) Management, International Trade, Logistics, or Supply Chain Management is preferred. Technical education or exposure to Mechanical, Electrical, Mechatronics, or Industrial Engineering is an added advantage for handling machinery exports. Training or certification in Incoterms, customs compliance, LC handling, or global trade regulations is a plus. Strong academic foundation in business communication, documentation, and commercial operations is required. Candidates with Manufacturing Industry / Related International Business Knowledge can apply for this position.

Experience
Minimum 1 to 4 years of experience as an Export Sales Coordinator / International Business Operations / Global Trade within Manufacturing / Machinery / Industrial Equipment / Technology - Driven sectors. Hands-on experience in handling export documentation, customs procedures, Incoterms, and international payment processes including Letter of Credit (LC). Proven experience coordinating logistics with freight forwarders, shipping lines, and customs brokers for heavy or oversized machinery shipments. Experience working closely with production, engineering, finance, and sales teams to manage international orders from inquiry to delivery. Exposure to international customer handling, distributor coordination, and global market communication is essential. Experience in using ERP systems, CRM platforms, and MS Excel for order tracking, reporting, and export operations is required. Prior experience in laser machines, CNC equipment, digital printing machinery, or capital goods manufacturing is a strong advantage.
