Job Overview
The Purchase Manager will be responsible for planning, sourcing, and managing the procurement of raw materials, packaging materials, and consumables required for the manufacturing and export of frozen and dehydrated food products. The role ensures uninterrupted supply, cost control, quality compliance, and timely procurement aligned with production plans and export requirements. The Purchase Manager will coordinate closely with production, quality, warehouse, finance, and logistics teams, manage vendor relationships, negotiate pricing, and ensure all materials meet food safety standards, regulatory norms, and international export requirements.
Key Responsibilities
- Plan, forecast, and manage procurement of raw materials, packaging materials, and consumables for frozen and dehydrated food production based on production schedules, export orders, and seasonal availability.
- Develop and implement procurement strategies to ensure uninterrupted supply, optimal inventory levels, and cost efficiency while avoiding shortages or excess stock.
- Identify, evaluate, onboard, and manage suppliers including farmers, traders, processors, and packaging vendors, ensuring reliability, capacity, and long-term partnership.
- Conduct supplier audits, site visits, performance reviews, and maintain approved vendor lists with backup suppliers to ensure supply chain continuity.
- Negotiate pricing, contracts, payment terms, credit periods, delivery schedules, and volume discounts to achieve cost savings without compromising quality.
- Monitor market trends, commodity price movements, and supply risks to support informed sourcing decisions and risk mitigation.
- Ensure all procured materials comply with food safety standards, quality specifications, and regulatory requirements such as FSSAI, HACCP, FSSC 22000, FDA, EU norms, and other applicable export regulations.
- Coordinate with the quality team for material approvals, vendor certifications, incoming inspections, traceability documentation, and resolution of quality non-conformities.
- Manage purchase requisitions, issue purchase orders, track deliveries, and expedite materials to meet production timelines.
- Coordinate with warehouse and logistics teams for proper receipt, storage, inventory control, and movement of materials, especially for perishable and cold-chain items.
- Optimize inventory through effective planning methods such as buffer stock management and Just-in-Time practices to reduce holding costs and wastage.
- Collaborate closely with production, planning, finance, quality, warehouse, and logistics teams to align procurement activities with operational and export requirements.
- Control procurement budgets, analyze spend patterns, and drive continuous cost reduction and value optimization initiatives.
- Maintain accurate procurement records, supplier agreements, certificates, MIS reports, and audit-ready documentation.
- Support statutory audits, food safety audits, and export compliance requirements related to procurement and sourcing.
- Track and report key procurement KPIs such as cost savings, supplier performance, on-time delivery, inventory turnover, and material rejection rates to management.

- Strong knowledge of procurement and sourcing practices for frozen and dehydrated food products.
- Deep understanding of agricultural raw materials, seasonal availability, crop cycles, and commodity price volatility.
- Expertise in strategic sourcing, supplier identification, evaluation, onboarding, auditing, and long-term supplier relationship management.
- Strong negotiation skills for pricing, contracts, payment terms, credit periods, lead times, and volume-based agreements.
- Comprehensive knowledge of food safety standards and regulatory requirements such as FSSAI, HACCP, FSSC 22000, ISO 22000, FDA, FSMA, BRCGS, and international export norms.
- Ability to manage inventory planning, demand forecasting, safety stock, EOQ, and stock optimization for perishable and non-perishable materials.
- Strong supply chain management skills covering procurement, logistics coordination, cold-chain handling, and inventory control.
- Cost analysis, budgeting, and total cost of ownership evaluation skills with a focus on cost reduction and value optimization.
- Analytical and data-driven decision-making skills to monitor market trends, price movements, supplier performance, and procurement KPIs.
- Risk management and contingency planning skills to manage supply disruptions, seasonal shortages, and single-source dependencies.
- Strong cross-functional coordination and communication skills to work effectively with production, quality, warehouse, finance, logistics, and export teams.
- Proficiency in ERP systems and procurement tools such as SAP, Oracle, Microsoft Dynamics, or similar platforms.
- Advanced working knowledge of MS Excel for data analysis, forecasting, MIS reporting, and spend analysis.
- Experience in handling procurement documentation, supplier contracts, certificates of analysis, traceability records, and audit compliance documents.
- Knowledge of international trade practices, Incoterms, export documentation, and compliance requirements for global food markets.
- Strong problem-solving and decision-making skills to address procurement challenges quickly and effectively.
- High attention to detail and organizational skills to manage multiple suppliers, purchase orders, and compliance requirements accurately.
- Strong interpersonal and relationship-building skills to maintain trust with suppliers and internal stakeholders.
- Leadership capability to guide procurement teams, drive process improvements, and support continuous improvement initiatives.

Preference will be given to candidates with strong purchasing experience in the food processing industry, especially frozen and dehydrated products, including agricultural raw materials, food-grade packaging, cold-chain sourcing, and export procurement.
Experience
Minimum 2 to 4 years of relevant experience as a Purchase Manager in Purchasing and Procurement within the Food Processing / FMCG Manufacturing Industry, preferably dealing with Frozen and Dehydrated Food Products. Priority will be given to candidates with hands-on experience in Agricultural Raw Material Sourcing, Food-Grade Packaging, Cold-Chain–Related Procurement, Export-Oriented Purchasing, and coordination with Large-Scale Manufacturing Operations.
