Job Overview
- Proactively manages the MD’s calendar, including scheduling, rescheduling, and prioritizing meetings to ensure optimal time utilization.
- Coordinates internal and external meetings, appointments, and events with accuracy and efficiency.
- Organizes and manages domestic and international travel, including flights, accommodation, visas, and transportation.
- Prepares detailed travel itineraries with complete scheduling and logistical information.
- Acts as the first point of contact for the MD by screening and prioritizing calls, emails, and messages.
- Handles incoming calls professionally, routes them appropriately, and records accurate messages.
- Welcomes and assists visitors on behalf of the MD with professionalism and courtesy.
- Prepares, formats, and proofreads reports, presentations, agendas, and briefing documents.
- Records and circulates Minutes of Meetings (MOMs) with clear action points and timelines.
- Maintains organized paper and digital filing systems for easy access and compliance.
- Drafts and manages professional correspondence, including emails, letters, and internal memos.
- Handles incoming and outgoing mail, couriers, and packages efficiently.
- Liaises with internal teams, senior management, clients, vendors, and stakeholders for seamless coordination.
- Supports executive meetings, business reviews, and corporate events with end-to-end coordination.
- Tracks action items from meetings and ensures timely follow-ups and completion.
- Monitors project deadlines and progress for assignments handled by the MD.
- Conducts research and compiles data to support business decisions and strategic planning.
- Assists in preparing business reports, MIS, and performance analysis documents.
- Manages and reconciles expense reports, travel reimbursements, and petty cash.
- Maintains strict confidentiality of sensitive information and business discussions at all times.
- Provides proactive administrative and operational support to enhance the MD’s productivity.
- Ensures smooth functioning of the MD’s office by coordinating with Admin, IT, and Facilities teams.
- Schedules reminders and ensures the MD is well-prepared for meetings and commitments.
- Maintains and updates contact databases, directories, and professional networks.
- Takes initiative to identify issues and independently resolves administrative, scheduling, or communication challenges.
- Demonstrates exceptional verbal and written communication skills for clear and professional interactions.
- Possesses strong interpersonal skills to effectively engage with stakeholders at all levels.
- Exhibits excellent organizational skills with the ability to manage multiple tasks efficiently.
- Maintains high attention to detail and accuracy in all assigned responsibilities.
- Shows proficiency in MS Office Suite including Word, Excel, PowerPoint, and Outlook.
- Demonstrates strong typing skills with speed and accuracy.
