- Prepare, review, verify, and maintain all import-related documents including Commercial Invoices, Packing Lists, Bills of Lading (B/L), Air Waybills (AWB), Certificates of Origin, Insurance Certificates, Import Licenses, and other trade documents.
- Ensure all import documentation complies with customs regulations, DGFT guidelines, GST requirements, and international trade laws.
- Coordinate with overseas suppliers for timely receipt of accurate shipping and import documentation.
- Verify shipment documents for accuracy, completeness, and compliance before customs clearance.
- Liaise with freight forwarders, shipping lines, airlines, and logistics service providers for smooth shipment execution.
- Coordinate with Customs House Agents (CHAs) and customs brokers for timely customs clearance of imported goods.
- Prepare and submit import declarations, Bills of Entry, and other regulatory documentation as required.
- Monitor and track import shipments from origin to final destination.
- Follow up on shipment schedules, cargo arrivals, and delivery timelines.
- Resolve shipment delays, customs holds, documentation discrepancies, demurrage, and detention-related issues.
- Ensure timely clearance of imported materials to avoid production disruptions and additional logistics costs.
- Verify HS Codes, product classifications, customs valuations, and applicable duties and taxes.
- Assist in calculating landed costs, import duties, freight charges, and logistics expenses.
- Coordinate with banks regarding Letters of Credit (LC), import remittances, and trade finance documentation.
- Maintain accurate records of import transactions, customs documents, duty payments, and shipment files.
- Update ERP systems and maintain import-related data with complete accuracy.
- Coordinate with Procurement, Finance, Accounts, Stores, Warehouse, and Production teams for seamless import operations.
- Process and verify invoices received from freight forwarders, shipping lines, customs brokers, and logistics vendors.
- Generate import-related MIS reports, shipment status reports, and management reports.
- Support internal and external audits by maintaining complete and organized documentation records.
- Monitor compliance with company policies, import regulations, and international trade requirements.
- Stay updated on changes in customs laws, foreign trade policies, FTAs, Incoterms, and duty structures.
- Communicate shipment status, risks, delays, and compliance issues to internal stakeholders.
- Identify opportunities to improve import documentation processes, clearance timelines, and cost efficiency.
- Support continuous improvement initiatives to enhance supply chain efficiency, documentation accuracy, and overall import operations.
- Strong knowledge of import documentation, international trade procedures, and customs regulations.
- Expertise in preparing, reviewing, and verifying import documents including Invoices, Packing Lists, Bills of Lading, Air Waybills, and Certificates of Origin.
- Good understanding of DGFT regulations, Foreign Trade Policy (FTP), GST on imports, and customs compliance requirements.
- Strong knowledge of customs clearance procedures, HS Code classification, tariff structures, and duty calculations.
- Familiarity with Incoterms 2020, international shipping practices, and freight forwarding operations.
- Ability to coordinate effectively with suppliers, freight forwarders, shipping lines, customs brokers, and logistics partners.
- Experience in shipment tracking, cargo monitoring, and end-to-end import logistics management.
- Knowledge of Letter of Credit (LC) procedures, trade finance documentation, and import payment processes.
- Proficiency in ERP systems such as SAP, Oracle, Tally, or similar business software.
- Advanced working knowledge of Microsoft Excel, MS Office applications, and MIS reporting.
- Strong record management, documentation control, and data accuracy skills.
- Excellent analytical, problem-solving, and decision-making abilities.
- Strong organizational, multitasking, and time management skills.
- Excellent verbal and written communication skills with strong stakeholder management capabilities.
