Job Overview
The Warehouse Executive will be responsible for managing day-to-day warehouse operations and ensuring the proper receipt, storage, inventory control, documentation, and dispatch of materials required for solar power projects and related operations. The role will involve handling solar modules, inverters, electrical components, cables, mounting structures, tools, equipment, spare parts, and other project materials while maintaining accurate stock records. The position will coordinate closely with Procurement, Project, Engineering, Installation, Finance, and Operations teams to ensure timely availability and movement of materials. The Warehouse Executive will also monitor material inward and outward processes, stock reconciliation, physical verification, inventory tracking, storage practices, and warehouse safety, while ensuring materials are properly identified, protected, and readily available for project requirements. The role requires a detail-oriented and organized professional who can maintain accurate warehouse documentation, minimize inventory discrepancies, support efficient material utilization, and contribute to smooth execution of solar projects.
Key Responsibilities
- Manage day-to-day warehouse operations for materials required for solar power projects.
- Receive, inspect, verify, and record incoming materials against purchase orders, invoices, and delivery challans.
- Handle solar modules, inverters, electrical components, cables, mounting structures (MMS), tools, equipment, and spare parts.
- Verify material quantities, specifications, serial numbers, batch details, and physical condition during receipt.
- Identify and report shortages, excess quantities, damages, defects, and discrepancies in received materials.
- Prepare and maintain GRN/MRN, material receipt records, stock registers, inward registers, and related warehouse documents.
- Ensure proper identification, coding, labelling, stacking, and systematic storage of all materials.
- Maintain appropriate storage conditions and protect fragile, high-value, and sensitive solar equipment from damage or deterioration.
- Maintain accurate and up-to-date inventory records through ERP, WMS, inventory software, or stock registers.
- Record all material receipts, issues, transfers, returns, and adjustments accurately and on time.
- Monitor stock levels and ensure timely availability of critical materials for ongoing and upcoming solar projects.
- Conduct regular physical stock verification, cycle counting, and stock reconciliation to maintain inventory accuracy.
- Investigate inventory variances, missing materials, excess stock, and other discrepancies and report them to management.
- Track project-wise material allocation, consumption, transfers, returns, and stock balances.
- Monitor slow-moving, non-moving, excess, and obsolete inventory and coordinate corrective actions.
- Issue materials to project and installation teams against approved material requisitions and proper documentation.
- Arrange picking, packing, staging, and dispatch of materials according to project requirements and schedules.
- Prepare and verify Material Issue Notes, Delivery Challans, Gate Passes, Packing Lists, E-way Bills, and other applicable dispatch documents.
- Coordinate with transporters and logistics partners to ensure timely and safe movement of materials to project sites.
- Coordinate closely with Procurement, Project, Engineering, Installation, Operations, Finance, and Quality teams for material planning and movement.
- Manage material returns from project sites, including inspection, documentation, segregation, and re-entry into inventory where applicable.
- Maintain accurate records of damaged, defective, rejected, excess, returned, and scrap materials and coordinate appropriate action.
- Ensure warehouse housekeeping, safety, security, proper material handling, and compliance with company SOPs.
- Prepare daily, weekly, and monthly stock, inward, outward, consumption, and inventory status reports for management.
- Support inventory audits and continuously improve inventory accuracy, storage utilization, material handling, and warehouse efficiency.
Key Skills
- Strong knowledge of warehouse operations, storekeeping, and inventory management.
- Hands-on experience in material receipt, inspection, storage, issue, and dispatch.
- Good knowledge of solar PV materials, including modules, inverters, cables, electrical components, mounting structures, tools, equipment, and spare parts.
- Strong skills in inventory control, stock reconciliation, physical verification, and discrepancy resolution.
- Proficiency in ERP / WMS / Inventory Management Systems for accurate material tracking and stock updates.
- Good knowledge of GRN/MRN, Material Issue Notes, Delivery Challans, Gate Passes, and warehouse documentation.
- Understanding of FIFO/FEFO, cycle counting, stock monitoring, and inventory accuracy practices.
- Ability to maintain accurate project-wise material allocation, consumption, transfer, and return records.
- Strong knowledge of dispatch planning, logistics coordination, packing, loading, and material transportation.
- Good MS Excel and MIS reporting skills for preparing stock, inventory, and warehouse reports.
- Knowledge of material coding, labelling, binning, rack allocation, and systematic storage practices.
- Understanding of warehouse safety, EHS, 5S, housekeeping, PPE, and safe material handling practices.
- Ability to coordinate effectively with Procurement, Project, Engineering, Installation, Operations, Finance, Quality, and Site teams.
- Knowledge of material returns, RTV, damaged goods, warranty replacements, reverse logistics, and scrap segregation.
- Strong attention to detail, organizational skills, and inventory accuracy.
- Strong problem-solving, communication, teamwork, and time-management skills with the ability to meet project deadlines.

Minimum 2 to 4 years of experience as a Warehouse Executive / Store Executive / Inventory Executive / Stores Officer / Warehouse Supervisor / Material Coordinator / Relevant Professional in Renewable Energy / Solar Power / Solar PV / Engineering / Electrical / Manufacturing / Project Operations / Logistics / Relevant Industry is required. Candidates must have hands-on experience in material receipt, inspection, storage, inventory control, stock reconciliation, material issue, dispatch, documentation, and warehouse operations. Prior experience in handling solar modules, inverters, cables, electrical components, mounting structures, tools, equipment, spare parts and project materials will be preferred. Experience in ERP / WMS, GRN/MRN, project-wise inventory tracking, physical stock verification, cycle counting, dispatch coordination, material returns, damaged/defective material management and MIS reporting will be an added advantage. Renewable Energy / Solar PV / Warehouse Operations / Inventory Management / Stores / Logistics / Material Management / Engineering / Relevant Industry related experience on Priority.
