Job Overview
The CHA Documentation Officer is responsible for managing and coordinating all documentation related to customs clearance for import and export shipments. This role requires an in-depth understanding of customs procedures, trade compliance, and shipping regulations to ensure the smooth and efficient clearance of goods. The candidate will act as a key liaison between clients, customs authorities, and logistics partners.
Key Responsibilities
- Compile, prepare, and verify shipping and customs documents such as invoices, packing lists, bills of lading, and certificates of origin.
- Coordinate with customs authorities for clearance of goods and ensure timely submission of required forms.
- Ensure adherence to international trade regulations, customs laws, and company policies.
- Communicate with freight forwarders, shipping lines, and clients to resolve queries related to shipments and documentation.
- Maintain accurate records of all shipments, customs clearances, and related correspondence.
- Prepare periodic reports on documentation activities.
- Address and resolve issues related to delayed shipments, documentation discrepancies, or customs queries.
- Prepare and verify shipping and customs documentation for both imports and exports (invoices, packing lists, bills of lading, etc.).
- Ensure accurate submission of documents to customs authorities and related regulatory bodies.
- Liaise with shipping companies, freight forwarders, and other related parties for smooth processing of shipments.
- Coordinate with customs authorities for cargo inspection and clearance.
- Prepare documents for customs clearance, ensuring compliance with Indian and international customs regulations.
- Handle queries and issues related to documentation, customs procedures, and regulatory requirements.
- Communicate with clients to gather necessary information for filing and clearance purposes.
- Provide timely updates on shipment status and documentation.
- Assist clients in understanding customs regulations and documentation requirements.
- Stay updated on any changes in customs rules, export/import documentation, and compliance regulations.
- Ensure compliance with government regulations, including DGFT, port authorities, customs laws, and other statutory bodies.
- Maintain accurate records of all import and export documentation, customs filings, and clearance data.
- Prepare daily, weekly, and monthly reports on shipments, pending documentation, and customs clearance status.
- Guide and train junior documentation executives on documentation procedures, customs regulations, and compliance.
- Preparation of a Checklist of Import and Export Shipments.
- Shipment related follow-up with Shipping lines / CFS.
- Follow up with Customers.
- Follow up with operational Staff.
- Preparation of DSR and update the same to the customer.
- Should know how to make Pre-Shipment Documents.
- Should know how to make Post Shipment Documents.
- Anyone working with CHA/Shipping line preferable.
- Liasoning with Shipping Companies.
- Ensuring shipments reach on time and at their correct location at a minimal cost.
Key Skills
- Strong knowledge of import/export regulations, HS codes, and tariff classifications.
- Excellent communication and problem-solving skills.
- High attention to detail and ability to work under deadlines.
- Import and Export Customs Checklist Preparation.
- ODEX Knowledge.
- Customer Coordination.
- Basic Knowledge of Customs Notifications and rules.
- Strong knowledge of Indian customs procedures, shipping documentation, and regulations.
- Familiarity with software such as ICEGATE, DGFT, and other customs clearance platforms.
- Proficiency in MS Office (Word, Excel, PowerPoint) for documentation and reporting.
- Excellent communication and coordination skills.
- Strong attention to detail, with the ability to manage multiple tasks under tight deadlines.
- Ability to work independently and as part of a team.
- Certification in Import/Export Management or International Trade.
- Prior experience working with Customs Brokers/CHAs, logistics companies, or freight forwarders.
