They are looking for a Front Office Executive to be the first point of contact at their firm. The ideal candidate will create a professional and welcoming environment for clients, visitors, and associates, while managing day-to-day front desk operations. This role demands strong communication skills, attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities

  • Greet and welcome clients, visitors, vendors, and employees with professionalism, ensuring a warm and courteous reception experience.
  • Manage the front desk and reception area, keeping it clean, organized, and presentable at all times.
  • Handle all incoming phone calls, emails, and correspondence—screening, answering, and forwarding them to the appropriate departments.
  • Manage client inquiries, provide basic non-legal information, and direct them to the concerned lawyer/paralegal.
  • Schedule and coordinate client appointments, consultations, meetings, and lawyer calendars; send confirmations and reminders.
  • Oversee conference room bookings and preparation, ensuring required materials (notepads, pens, water) are available.
  • Maintain and update visitor logs, ensuring compliance with office security and check-in protocols.
  • Handle incoming and outgoing mail, courier deliveries, and packages in an organized manner.
  • Assist with document handling—photocopying, scanning, printing, faxing, and filing of legal and office records.
  • Support client file management, including opening new files, updating case records, and closing completed files under supervision.
  • Perform basic data entry and maintain client databases or case management systems.
  • Assist in new client intake by collecting basic details and ensuring required forms are completed.
  • Act as the first point of contact for client queries, ensuring professional and courteous communication.
  • Provide refreshments (tea, coffee, water) to clients and visitors, ensuring their comfort during waiting time.
  • Provide administrative support across departments (HR, Finance, Operations, Legal) including attendance tracking, onboarding support, and routine reporting.
  • Coordinate with vendors, suppliers, and service providers for office supplies, equipment maintenance, and facility management.
  • Monitor and maintain inventory of office and pantry supplies, ensuring timely replenishment.
  • Assist in coordinating internal events, meetings, guest arrivals, and presentations.
  • Accept and process client payments (cash, cheque, or card), issue receipts, and coordinate with accounts for reconciliation.
  • Identify and report infrastructure-related issues (lighting, air-conditioning, housekeeping) and coordinate timely resolution.
  • Maintain strict confidentiality and discretion while handling sensitive client and firm-related information.
  • Demonstrate adaptability and problem-solving skills in a fast-paced legal office environment.

  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn new software quickly.
  • Familiarity with office management systems, scheduling tools, CRM platforms, and basic legal terminology.
  • Competence in handling office equipment such as printers, scanners, fax machines, and multi-line phone systems.
  • Skilled in data entry, filing, photocopying, and maintaining client and office records.
  • Ability to remain calm, composed, and solution-focused under pressure.
  • Strong problem-solving, conflict resolution, and decision-making skills.
  • Knowledge of administrative procedures including mail handling, vendor coordination, and office supply management.
  • Effective coordination across departments such as HR, Operations, Finance, and Legal.
  • Quick thinker with a proactive, resourceful, and adaptable mindset in a dynamic work environment.
  • Basic knowledge of legal software (e.g., Clio, MyCase) or willingness to learn.
  • Awareness of data privacy, visitor access, and office security protocols.
  • Prior experience in professional services, legal, or client-facing roles will be an added advantage.


Salary
₹15000/- to ₹30000/- pm (Best in the Industry for Qualified Candidate)
