
Job Overview
- Manage daily administrative and operational activities for both premium properties.
- Maintain accurate records of lease agreements, rent collections, maintenance schedules, and vendor contracts.
- Oversee housekeeping, maintenance, security, and facility management operations.
- Schedule and conduct regular property inspections to ensure operational, safety, and cleanliness standards.
- Handle communication between tenants, vendors, service providers, and property owners.
- Maintain organized filing systems for tenant, vendor, and property-related documents.
- Ensure compliance with all applicable building, safety, and statutory regulations.
- Manage tenant relationships and address their inquiries, requests, and complaints promptly.
- Assist in preparing, reviewing, and renewing lease agreements and related documentation.
- Monitor tenant compliance with lease terms and property rules.
- Prepare and distribute notices, circulars, and communications to tenants.
- Coordinate smooth tenant move-in and move-out procedures.
- Assist in preparing and monitoring annual property budgets and operating expenses.
- Process rent, maintenance fees, and service charge payments; follow up on pending dues.
- Verify and process vendor and contractor invoices for approval and payment.
- Compile and maintain property financial records, income, and expense statements.
- Prepare monthly reports on property performance and financial status.
- Coordinate day-to-day and preventive maintenance, repairs, and renovation activities.
- Liaise with contractors, vendors, and suppliers for quotations, performance monitoring, and service contracts.
- Maintain updated records of maintenance history, warranties, and technical manuals.
- Identify and resolve maintenance or operational issues efficiently.
- Monitor and control utility expenses and property maintenance budgets.
- Communicate effectively with property owners, tenants, and the management team.
- Support audits, inspections, and internal reviews as required.
- Supervise housekeeping, maintenance, and security staff to ensure quality service delivery.
- Provide administrative support to the Property Manager or Head of Property Operations.
- Coordinate with internal departments such as Accounts, HR, and Administration for seamless operations.
- Ensure all property management activities align with company standards and objectives.
- Strong knowledge of property and facility management operations.
- Excellent communication and interpersonal skills for effective coordination with tenants, owners, vendors, and contractors.
- Customer service orientation with an empathetic and proactive approach.
- Strong organizational and record-keeping skills with attention to detail and accuracy.
- Proficiency in MS Office (Excel, Word, Outlook, PowerPoint) and property management software (e.g., Yardi, AppFolio, Buildium).
- Ability to manage multiple properties and handle diverse administrative and operational tasks efficiently.
- Knowledge of lease administration, rent collection, and property documentation.
- Financial acumen with understanding of budgeting, expense tracking, invoice processing, and financial reporting.
- Vendor management skills, including obtaining quotations, supervising work, and monitoring payments.
- Problem-solving and decision-making ability to handle operational and tenant-related challenges.
