  • To act as the lead administrative support on projects generated by your team(s), as designated.
  • Providing full administrative support as agreed with the Director / Head of Department.
  • Scheduling, organising and coordinating meetings and events.
  • Drafting correspondence and emails.
  • Preparation of papers for meetings.
  • To advise of impending work deadlines for both internal and external.
  • commitments, e.g. reports, presentations, conferences, projects).
  • Coordinating travel plans and accommodation.
  • Setting up conference calls.
  • Meeting and greeting clients and other visitors.
  • Complete tally knowledge.
  • Invoice and expenses management.
  • To work with the administrative colleagues in providing comprehensive administration support services to the Foundation.
  • Providing administrative support to Team(s) meetings, including agenda preparation and note taking.
  • Support Foundations office management.
  • Supporting projects, as directed by team Director(s) or line manager.
  • Provide administrative support to Team (s) including; invoice, budget and expenses management; travel and accommodation arrangements, scheduling and organising.
  • internal/external meetings and events; and setting up conference calling facilities.
  • Maintaining and coordinating calendars and email boxes.
  • Excellent administrative skills and good IT skills, including Microsoft Office packages: Word, PowerPoint, Excel, Outlook and databases. 
  • Demonstrable ability to work independently. 
  • Excellent personal organisational skills with the ability to prioritise and to work to and meet tight deadlines. 
  • Good interpersonal skills with the ability to communicate and work effectively across teams and with a variety of people both inside and outside the organisation.
  • Understanding of reputation management.
  • Excellent oral and written and understanding communication skills.
  • High level of accuracy in all work with excellent attention to detail and excellent English.  
  • Excellent customer service skills with a proven ability to respond positively and proactively to colleagues and external contacts.

  • A knowledge and understanding of procurement.

  • Tactful and diplomatic when dealing with sensitive matters.

  • Finance and Administration Department Functions Basically the main role of finance and administration is to enforce the program staff to adhere to the organization’s financial and administrative policies. The finance and administration department has core functions to run the office smoothly under the set policies and procedures.​
  • The administrator discusses the issue with the legal department for advice on how best to handle the situation. The legal department reviews the company handbook to ensure the appropriate measures are followed, and then provides the general administration with appropriate courses of action.
  • Arranging the law firm’s day-to-day operations. Legal administrators are non- attorney law firms. They are directly responsible for managing the activity of the administrative assistant, legal secretaries, and paralegals.
  • Keep records of invoices and tax payments.
  • Prepare budgets.
  • Manage company’s liabilities.
  • Report on financial projections.
  • Time-management and organization skills.
  • Manage accounts receivable and payable.
  • Reviewing and processing reimbursements.
  • Supervises administrative
  • Respective rules and regulations.
Key Skills
  • Having complete knowledge of Food compliance, Tally Prime , Accounting supports, legal secretaries
  • Clear Communication (both written and spoken)
  • Strong budget development and oversight skills
  • Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and customer service
  • Strong communication & Knowledge of current affairs , knowledge of FMCG, Coordination amongst departments.
  • Highly trained in conflict management and business negotiation processes
  • Knowledge of general business software ( and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong Knowledge of IT
