Job Overview
They are seeking a proactive Back Office Manager to oversee daily operations in their insurance division. The role involves managing policy lifecycle tasks, ensuring compliance, and supporting their front-line teams with accurate documentation and timely coordination.

Key Responsibilities

  • The courses comprising Licentiate, Associate & Fellow conducted by Insurance Institute of India can be attended and cleared while working with the company. Also, the company provides compensation for passing these examinations including costs of books & examination fees as per company policy.
  • After working for two years and getting hands-on experience on the subject, the enrollment for Trainee surveyor with IRDAI can be done and license for Surveyor & Loss Assessor can be obtained as per company policy for further growth in the company.
  • Increments and promotions for outstanding performances as per company policy in addition to regular increments.
  • Rendering assistance to field surveyors for the surveys conducted.
  • Contacting various salvage buyers and getting the best quotes for the damaged items.
  • Develop working relationships with surveyors / Insured / Insurers / Brokers.
  • Preparing various survey reports as per claims.
  • Supervise the end-to-end processing of insurance policies including issuance, endorsements, renewals, cancellations, and dispatch.
  • Ensure timely and accurate data entry into insurance management systems (policy details, customer KYC, claims records, etc.).
  • Monitor and improve turnaround time (TAT) for policy servicing and claims intimation processes.
  • Coordinate with clients, surveyors, insurers, and underwriters for smooth documentation and query resolution.
  • Review claims documents submitted by clients and ensure proper logging, verification, and forwarding to the claims team.
  • Maintain up-to-date MIS reports and dashboards for policy movement, claims tracking, and departmental KPIs.
  • Lead, train, and manage the back-office operations team to ensure consistent performance and adherence to SOPs.
  • Perform quality control checks on processed documents and ensure compliance with IRDAI regulations and company guidelines.
  • Support internal and external audits by preparing and presenting required documents and system records.
  • Handle escalations related to documentation, delays, or service discrepancies, and provide effective solutions.
  • Implement process improvements and digitization initiatives to reduce manual work and increase operational efficiency.
  • Maintain strict confidentiality and accuracy of customer data and policy-related information.
  • Ensure coordination with IT or software vendors in case of system errors or data discrepancies.
  • Recruit, train, supervise, and mentor back-office staff, fostering a positive and productive work environment.
  • Delegate tasks effectively, monitor performance, and provide regular feedback and coaching.
  • Conduct performance appraisals and identify opportunities for professional development.
  • Ensure adequate staffing levels to meet operational demands.
  • Operational Efficiency and Process Management:Oversee and manage key back-office functions, including policy administration, claims processing support, underwriting support, finance and accounting tasks, and regulatory compliance.
  • Develop, implement, and maintain efficient workflows and standard operating procedures (SOPs) to enhance accuracy and turnaround times.
  • Identify bottlenecks and areas for process improvement, recommending and implementing solutions.
  • Monitor key performance indicators (KPIs) to track operational performance and identify areas needing attention.
  • Quality Assurance and Compliance:Ensure all back-office operations adhere to company policies, industry regulations, and legal requirements.
  • Implement and monitor quality control measures to maintain data accuracy and process integrity.
  • Stay updated on relevant regulatory changes and ensure the team's compliance.
  • Participate in internal and external audits as required.
  • Stakeholder Communication and Collaboration:Serve as a primary point of contact for internal departments (e.g., underwriting, claims, finance, sales) regarding back-office operations.
  • Collaborate effectively with other departments to ensure seamless information flow and resolve any operational issues.
  • Prepare and present reports on back-office performance to senior management.
  • System and Technology Management:Oversee the effective use of relevant insurance software and systems within the back office.
  • Identify opportunities to leverage technology to improve efficiency and accuracy.
  • Collaborate with IT to troubleshoot system issues and implement upgrades or new systems.
  • Reporting and Documentation:Ensure accurate and timely data entry and record-keeping.
  • Generate regular and ad-hoc reports on back-office activities and performance.
  • Maintain organized and up-to-date documentation of processes and procedures.
